Knowledgebase-Civic Center Event CoordinatorJOB TITLE:Civic Center Event CoordinatorDEPARTMENT:Civic CenterNON-EXEMPTFULL-TIME*********************************************************************************JOB SUMMARY:Under direction of Civic Center Manager, engages in public contact to handle bookings and event coordination; performs secretarial duties for Civic Center; and does related work as required.===============================================================ESSENTIAL JOB FUNCTIONS:Works with clients handling customer requests, showing and leasing rooms, preparing setup requests, and checking room setups; communicates courteously and effectively with clients, and other City employees, in person, in writing, and by telephone; receives incoming revenue and prepares receipts, prepares bills for payment, and keeps all client accounts current; assists in marketing Civic Center and works with in-house contract catering staff; assists the public with questions requiring knowledge of policies and procedures; takes and transcribes meeting minutes; prepares forms, charts, statements, letters and both taped and written memos; runs errands to multiple locations; assists with setup, breakdown, and decorating, including moving supplies of up to 25 pounds, climbing ladders, pushing carts with supplies, standing for long periods of time, and possible evening and/or weekend assignments; researches files, compiles and maintains statistical records, proofreads printed materials, maintains Civic Center filing system; operates computer for word processing, data manipulation, and desktop publishing, to produce brochures, flyers, and promotional materials, frequently sitting for long periods of time; operates other office machines including fax machines, calculator, type-writer, paper cutter, copier, and dictation equipment.==============================================================OTHER JOB FUNCTIONS:Takes messages to persons attending events in Civic Center; updates voice mail information line for Civic Center; updates video event monitor; prepares signs for events; opens and distributes mail; and other secretarial tasks as required.===============================================================REQUIRED EDUCATION, DEGREES, CERTIFICATES, AND/OR LICENSES:High School Diploma required; some college preferred. Valid Texas Class C Drivers License.===============================================================EXPERIENCE, TRAINING, KNOWLEDGE, AND SKILLS:One year secretarial experience and one year public contact required. Sales experience preferred. Must have high energy level, excellent organizational and decision making skills, be detail oriented. Must be tactful and diplomatic, maintain effective working relationships with others, and must maintain client confidentiality. 50 wpm typing is required. Must be able to use microcomputer and other office machines.
