JOB SUMMARY:
Under general supervision of the Telecommunications Coordinator and/or Assistant to the City Manager, coordinates the City's Voice Mail system. Responsible for all CITV administrative office duties; assists Citizens Information Services (CIS) with administrative tasks. Some evening and/or weekend work required. Does related work as required.

ESSENTIAL JOB FUNCTIONS:
Supervises and controls City's Voice Mail system. Develops and documents voice mail operating standards and procedures; installs voice mail for employees; designs, creates and implements information lines for departments and special events; utilizes graphics packages to design and create voice mail diagrams. Enforces voice mail security. Coordinates courteously and effectively with other departments; writes instructions for voice mail users, provides training to users; does voice mail recordings. Researches and recommends changes to the voice mail system. Handles all administrative duties for CITV office such as payroll, bill payments, purchase orders, equipment inventory, files and mail. Answers CITV main telephone line, and those of other staff members when necessary. Maintains and orders office supplies. Handles citizen inquiries and cable complaints courteously and effectively, in person and by telephone. Ensures CITV office is orderly and in good condition. Assists in various administrative projects, such as preparing monthly reports and CITV's annual budget. Reserves, checks out, and tracks CITV equipment; tracks departmental service requests.

OTHER JOB FUNCTIONS:
May assist Citizens Information Services by proofing and writing articles for the City newsletters, and with City Hall tours.

REQUIRED EDUCATION, DEGREES, CERTIFICATES, AND/OR LICENSE:
High-school Diploma; two years of college education in a related field. Bachelors degree in Business Administration or related field preferred.

EXPERIENCE, TRAINING, KNOWLEDGE, AND SKILLS:
Two years of progressively responsible professional experience in an office environment. Knowledge of filing methods; ability to use a calculator. Utilizes Microsoft Word for Windows, Microsoft Word, Excel, Lotus 123 and Lotus Freelance to produce voice mail reports, monthly reports, memos and other correspondence. Utilize the AS/400 to produce yearly budget. Types 40 wpm. Experience in dealing effectively and courteously with public and co-workers. Good writing skills. Experience in dealing with budget administration. Ability to work under minimal supervision. Shows initiative in performing job duties. Purchasing experience and training in voice mail use preferred.
