MTAS Administrative Support Assistant II 

The University of Tennessee Municipal Technical Advisory Service (MTAS) has an opening for an Administrative Support Assistant II in their Knoxville office. MTAS is an agency of the University of Tennessee Institute for Public Service that provides technical assistance, training, and research for Tennessee towns and cities, state government, and municipal government related associations. The Administrative Support Assistant II position provides primary coverage for the front receptionist area and includes answering phones and greeting guests who enter the building. The position also provides administrative support work as may be assigned from time to time.

Duties and Responsibilities:

Reception Duties. Staffs the main reception area and greets guests who enter the building. Answers telephones: routes all incoming calls to the appropriate staff member which often requires interpreting information and making a decision about where the call should be transferred. Coordinates and rotates calls for legal consultants. Answers the Nashville and Jackson phones when the calls are transferred to the Knoxville office. Receives and signs for deliveries from various shipping companies and notifies staff of their delivery. Prepares outgoing mail and sorts and distributes incoming mail. Ensures that the front door is locked and unlocked at appropriate times.

Administrative Duties. Performs a variety of administrative services for staff, including; data entry, reconciling each month’s financial records with IRIS, typing, filing records, editing reports, making travel and meeting arrangements and preparing materials for customers and programs. Prepares and enters department travel using IRIS, including travel requests and reimbursement requests for in-state as well as out-of-state travel.

Required Qualifications:

Education:
A high school diploma is required.

Experience:
Job requirements include a minimum of one year of work-related experience.

Skills:
Job related skills include: excellent interpersonal skills, problem solving skills, multi-tasking skills, attention to detail, and organizational skills. The position also requires intermediate computer knowledge of Microsoft Office software. Experience with data entry, the university information system, IRIS, and other software is preferred.

Behaviors:
Requires ability to be approachable and provide excellent customer service. Must be capable of operating a personal computer, fax, copier, and printer. Requires the ability to adapt to university database systems.
